Teammate roles

One role for each teammate, in the portal and in OpenBoxes

Invite your team from the portal and give each person one of four roles: Admin, Manager, User or Viewer. The role sets what they can do in the portal and their role inside OpenBoxes. For a Manager, User or Viewer, you also choose which OpenBoxes locations they work at.

The Users page in the portal. Five teammates are listed with their roles: Owner, Admin, Manager, User and Viewer. The Manager is set up for 2 locations and the User for 1 location.
The Users page in the portal, with example data.

One role, set in one place

Admin becomes Admin in OpenBoxes, Manager becomes Manager, User becomes Assistant and Viewer becomes Browser. Changing a role in the portal changes it in OpenBoxes too.

The owner and Admins run the team

The account owner and teammates with the Admin role invite, change and remove people on the portal's Users page. Billing stays with the owner.

On every plan

Up to 10 users on Shared, up to 50 on Dedicated and 100 included on Enterprise.

The roles

The person who signed up is the account owner. Each organization has exactly one owner, and invited teammates get one of the four other roles.

Managers, Users and Viewers see every quantity and count on the Reports page but not the money values, unless the account owner turns on Show stock and order values to all teammates.

Who manages the team

  • The account owner can invite, change, deactivate and remove any teammate, including Admins, and is the only person who can make someone an Admin or change an Admin.
  • An Admin can invite Managers, Users and Viewers, and change the role of, deactivate, remove or resend the invitation of any of them, one at a time or several together.
  • An Admin cannot change, deactivate or remove the account owner, another Admin or themselves.
  • Nobody can change their own role or remove themselves on the Users page.
  • Everyone on the team can open Users and see a read-only team list with each person's name, role and status.
  • The account owner and Admins see Recent team changes: who did what to whom and when, for the last 90 days.

Choosing a teammate's OpenBoxes locations

For each Manager, User and Viewer, the account owner or an Admin chooses All locations (the default) or Only these locations, ticking at least one from a searchable list. They choose it in the Invite User dialog, or later on the teammate's page in Users.

  • With Only these locations, the OpenBoxes location chooser lists only the teammate's locations: the setting decides what the chooser offers. Some shared lists, such as products, stay visible to them. A location limit organizes who works where, and some details of another location can still be opened from a direct link, such as a stock movement's page. On a Dedicated or Enterprise plan, for now, a limited Manager or User can still record stock at another location with a hand-built request, although the OpenBoxes screens never offer it.
  • The Users page shows a chip with how many locations a teammate has, for example "3 locations".
  • Admins always work at all locations. Making a teammate an Admin gives them every location.
  • For a teammate whose OpenBoxes user is a Superuser, locations are set inside OpenBoxes, not from the portal.
  • A change reaches OpenBoxes straight away, or within a few minutes if OpenBoxes can't be updated at once. For someone who has not opened OpenBoxes yet, it applies when they first do.
  • The setting applies inside OpenBoxes. The portal's Reports page still shows every location, and the scheduled CSV export and stock alerts still cover every location for the teammates who receive them.

Users on each plan

Shared

Up to 10 users

Packs of 5 users at $25/month per pack ($240/yr billed annually), up to 2 packs

Dedicated

Up to 50 users

Packs of 25 users at $100/month per pack ($960/yr billed annually), up to 2 packs

Enterprise

100 users

+$100/month per additional 25 users; more than 500 users is scoped per agreement

  • At the limit, the Users page refuses a new invitation and offers the seat pack.
  • On Shared and Dedicated the account owner adds a pack from Billing once the subscription is paid, not during the trial. It is charged pro-rated for the rest of the billing period, then renews with your plan.

What it does not do

  • The Admin role does not give billing, the subscription, API keys, staging copies or closing the account. Those stay with the account owner.
  • An Admin cannot make anyone an Admin.
  • Location choices do not narrow the portal: Reports, the scheduled CSV export and stock alerts cover every location.
  • Users you add inside OpenBoxes are not part of your portal team, and the Users page does not list or manage them.

Questions about teammate roles

What does each role become inside OpenBoxes?

Admin becomes an OpenBoxes Admin at all locations, Manager becomes Manager, User becomes Assistant (a standard user who can record stock and orders) and Viewer becomes Browser, which is read-only in OpenBoxes. The account owner stays the Superuser.

Can an Admin make someone else an Admin?

No. Only the account owner can make someone an Admin or change an Admin. An Admin manages Managers, Users and Viewers, and billing stays with the owner.

Does choosing a teammate's locations change what the portal shows them?

No. The setting applies inside OpenBoxes. The portal's Reports page still shows every location, and the scheduled CSV export and stock alerts still cover every location for the teammates who receive them.

What happens when someone leaves?

The account owner or an Admin removes or deactivates them on the Users page. That signs them out of the portal and turns off their OpenBoxes user too, and their past activity in OpenBoxes is kept. A few OpenBoxes users, such as a Superuser, you turn off yourself inside OpenBoxes. API keys are not revoked automatically; the account owner revokes them on the API keys page.

What happens when we reach our user limit?

The Users page refuses a new invitation and offers the seat pack. On Shared and Dedicated the account owner adds a pack from Billing once the subscription is paid (not during the trial), or you can remove a user or upgrade your plan.
